Introduction to effective workplace relationships

Collecting and analysing information 

As a manager and part of ensuring effective workplace relationships, your role will include providing information to your team to assist with the improvement of work performance. The sources of information that leaders may review and analyse are varied. Some examples include:

  • Strategic Plans - that outline the organisation’s vision, mission and values and key objectives, goals and directions

  • Operational Plans – that outline the organisation’s activities that align with its strategic directions. 

  • Team Performance Plans – that outline the team activities to be completed to achieve the overall organisational objectives 

  • Policies and Procedures – that outline the organisation’s overall direction and specific processes to achieve that direction

  • Standard Operating Procedures – specific procedures that must be followed to achieve specific activities

  • Data such as financial data that outline the business’ performance

  • Position descriptions and key performance indicators.

Collecting and then reviewing and analysing this information helps to improve team performance. To illustrate this example, reviewing and analysing the organisation’s strategic objectives as per the Strategic Plan helps to understand what the organisation is trying to achieve. Passing that information onto the team can improve their work performance as they will clearly understand what the organisation is seeking to achieve and by understanding this can be part of the effort to achieve objectives. 

Communication of the information to the team can be in a number of ways, for example through:

  • Induction – when an employee commences employment, they should be provided with information so that they understand their role and responsibilities as well as the organisation’s procedures

  • Emails – for example, with directions to complete specific activities 

  • Memos – again to include directions to complete specific activities 

  • Meetings – to discuss information that concerns work responsibilities. 

Communicating ideas and information

Communication is about the transfer of information.  As a leader, effective workplace communication skills are vital as they help motivate, inspire and pass on information and ideas to teams. 

In addition, what you say and how you say it is important because you are speaking on behalf of the organisation and representing its values and what it stands for.

Managers, supervisors and team leaders require effective written and verbal communication skills across a range of media to connect with workers and others in an appropriate manner and share information so everyone in the organisation knows what is happening and what they are expected to do. The way a person communicates helps to create the culture for a team or the organisation and directly impacts the behaviour of employees and team members and their willingness to do what is required. 

A business environment can be fast paced and as such the workforce needs to be kept informed of changes so they can respond appropriately to help achieve goals and also enable the business to achieve its objectives in a timely manner.

High level communication skills are essential to be a productive and effective leader because it is not enough to be knowledgeable about what you do: a leader must also be able to share knowledge with the people they manage. Developing effective communication skills can help to provide the type of leadership employees need to help them succeed.

The way a person communicates is also a prime determinant of how they are regarded by others in the workplace. Managers, supervisors and team leaders who are respectful, inclusive and honest in their communications will develop a strong and positive relationship with people that improves the likelihood of compliance with directions, creates a more cooperative and collaborative work environment and enhances the potential for the business to respond quickly to changing circumstances and achieve its goals.

Bill Jones has reported to you that George has complained he has so much work to complete he will have to work overtime to progress in the project being undertaken for a client. This is the second time an employee has been overloaded with work to the extent where overtime is required. When work is delegated initially, the tasks for each member of the team are always equal.   • Choose a strategy and process that could be used to better communicate information to employees on their work responsibilities.
  • What consultation method could be used for employees to provide feedback on their role? 
  • Develop a process that could be used to quickly deal with the above issue raised; either through a method to resolve the issue or referring to an appropriate colleague.
